  • Provide exercise programs (e.g. Physitrack via Jane App)

  • Process payments

  • Maintain accurate clinical records

Your consent is obtained to collect, use, and share your personal health information. Consent may be expressed or implied and may be withdrawn at any time, subject to legal or contractual obligations.

Communication & Electronic Risk

We may communicate with you via email, phone, or text messaging (including automated reminders through Jane App).

While we take reasonable steps to protect your information, electronic communication carries some inherent privacy risk. By providing your contact information, you consent to communication through these methods.

Sharing Your Information

We may share your information:

  • With your consent, with other healthcare providers involved in your care (e.g., family physicians), typically via secure methods such as fax or phone

  • When required or permitted by law

We do not sell or share your personal health information for marketing purposes.

Storage and Protection of Information

Your information is stored securely using electronic medical record systems (Jane App). We also use secure platforms such as Google Workspace for communication and Jane Payments for payment processing.

We take reasonable administrative, technical, and physical safeguards to protect your information from loss, theft, or unauthorized access.

Use of Third-Party Services

We use trusted third-party service providers to support clinic operations, including:

  • Jane App (electronic medical records and scheduling)

  • Physitrack (exercise program delivery via Jane App)

  • Google Workspace (email communication)

  • Jane Payments (payment processing)

These providers are expected to maintain appropriate privacy and security standards.

Photography and Video

Movement Collective Physiotherapy does not routinely collect or use photographs or videos. If photographs or videos are ever considered for clinical or educational purposes, separate explicit consent will be obtained.

Access to Your Information

You have the right to:

  • Request access to your health records

  • Request corrections to your information

Requests can be made in writing and may be subject to a reasonable administrative fee.

Retention of Records

We retain health records in accordance with regulatory requirements:

  • Adults: minimum of 10 years from last visit

  • Minors: 10 years after reaching age 18

Privacy Officer

Movement Collective Physiotherapy has designated a Privacy Officer responsible for ensuring compliance with privacy legislation.
